COMPARISON
divisionAI vs Zoho One
Zoho One's pitch is breadth for one price. The trade is that breadth and depth aren't the same thing.
Zoho One bundles a large suite of business applications — CRM, projects, HR, finance, support and more — under a single per-employee subscription. For a business that needs to cover many functions cheaply and quickly, the value is obvious and hard to match.
The trade-off is that a suite of many apps is still many apps. Integration between them is better than between unrelated vendors, but it is not the same as one data model, and depth varies considerably app to app. This page compares that bundle against a single system built around one schema.
Head to head
| — | divisionAI | Zoho One |
|---|---|---|
| Coverage | Exactly the modules your operation needs, and nothing you won't use. | Very broad — dozens of apps, most businesses use a fraction. |
| Data model | One schema. A record means the same thing everywhere in the system. | Separate apps with connectors. Better than unrelated vendors, still not one model. |
| Pricing | Scope-based. Adding people costs nothing in licences. | Per employee — and the all-employee requirement means you license everyone, not just users. |
| Depth per function | As deep as your process needs, because it's built to it. | Varies by app; some are excellent, others are thinner than a category leader. |
| Process fit | Built around your workflow and terminology. | Configurable within each app's model; unusual workflows need workarounds. |
| AI agents | Agents operate across the whole system with full context. | Assistive AI inside individual apps; cross-app agentic work is limited. |
| Time to live | Weeks for first modules. | Days to start; longer to configure and connect the apps you actually need. |
| Ownership | Code and data are yours. | Subscription. Leaving means exporting from each app separately. |
When Zoho One is the better choice
- You need broad functional coverage fast and at low cost — it is genuinely hard to beat on price per function.
- Your processes fit within each app's model without heavy workarounds.
- You'd rather have a vendor maintaining everything than own a system.
- Headcount is small enough that per-employee pricing stays comfortable.
- You need a specific Zoho app that's strong in its category and integrates with the rest.
When a tailor-made system fits better
- Your core workflow crosses several apps and the connectors don't hold the process together.
- You're licensing every employee but only a subset genuinely uses the suite.
- One function is central to your business and the bundled app is too shallow for it.
- You want AI agents acting across the whole operation, not assistants inside separate apps.
- Reporting across the business requires stitching data from multiple apps together.
- Your operation has genuine idiosyncrasy that configuration alone can't express.
The short version
Zoho One is excellent value when you need many functions covered adequately. A tailor-made system wins when one workflow matters more than broad coverage — when the thing that makes you money is a process no bundled app models, or when you're paying to license an entire headcount for software a third of them open.
Common questions
- Is Zoho One cheaper than building?
- Upfront, almost always — that's the point of the bundle. The comparison changes with headcount and with how much of the suite you actually use, because the all-employee licensing requirement means you pay for people who never log in. Worth modelling over three years with your real numbers.
- Can we keep some Zoho apps and build around them?
- Yes. Keeping a Zoho app that works well and integrating it is a normal outcome — most often the finance or support side, with the operational core built around your process.
- What does 'one data model' actually get us?
- Concretely: no reconciliation between systems, reporting that doesn't require stitching exports together, and AI agents that can see a whole workflow rather than one app's slice of it. If your work happens inside one app at a time, this matters much less.
- We're 15 people. Should we even consider custom?
- Often not yet, and we'd say so. At that size a bundle usually wins unless one process is both central and genuinely unusual. The calculation shifts as headcount grows and as the number of apps a single workflow touches goes up.
