REAL ESTATE & PROPERTY
Software for real estate & property management
Renew before an expiry surprises you, close requests without an inbox, and give residents one thing to open.
Property portfolios accumulate systems the way they accumulate buildings — a listings tool here, a lease spreadsheet there, a maintenance inbox, a separate app for the resident experience, and a finance system that learns about all of it last.
divisionAI unifies the portfolio: units, leases, tenants, maintenance and money in one record, with a resident-facing layer that feels like a product rather than a form, and AI agents handling the requests that currently land in somebody's inbox at the weekend.
What fragmentation costs a portfolio
Renewals that arrive as surprises
Lease expiries tracked in a spreadsheet mean the renewal conversation starts late, and late conversations lose units.
Maintenance with no audit trail
Requests arrive by WhatsApp, phone and email. Nobody can say what was promised, by whom, or how long it actually took.
A resident experience made of forms
Booking an amenity, reporting a fault or paying a charge each go through a different channel — so residents call the office instead.
Portfolio performance assembled by hand
Occupancy, arrears and yield per asset take a week to compile, which means they're reviewed monthly at best.
WHAT BECOMES POSSIBLE
MANAGE MORE UNITS,
NOT MORE INBOXES.
Portfolio growth usually arrives as coordination load. More units mean more expiry dates tracked by hand, more requests arriving by WhatsApp, more chasing of contractors — and the team that was managing assets ends up managing messages instead.
When units, leases, requests and money share one record, that load stops tracking unit count. Renewals surface as work items ahead of time. Maintenance has one intake and an audit trail. Agents handle the routine resident questions outright, so the office is available for the things that genuinely need a person.
"The building should anticipate. The office shouldn't be the integration."
One system for the portfolio and the people in it
Property operators usually begin with the modules below. The mix depends heavily on whether you manage residential, commercial or a mixed portfolio — which is exactly what discovery settles.
Portfolio & units
Every asset, unit and its full history in one place — occupancy, condition, works done, documents attached where you'd expect to find them.
Leases & tenants
Lease terms, indexation, break clauses and expiries that surface as work items ahead of time instead of as spreadsheet reminders.
Maintenance & works
One intake for every channel, routed to the right contractor, with SLA timers and a complete audit trail per unit.
Resident portal & app
Bookings, requests, payments and building comms in one branded app — the thing residents actually open instead of calling the office.
Charges & arrears
Rent, service charges and arrears tracked against the lease that generated them, with chasing that runs itself.
AI concierge agents
Agents answer resident questions, triage maintenance requests by urgency, coordinate with vendors and learn each resident's routine so the building anticipates rather than reacts.
What changes
Residents notice a single app where there were four. The operator notices that a bigger portfolio no longer means a bigger inbox.
Questions from portfolio managers
- Does this work for a mixed residential and commercial portfolio?
- Yes, and it's a common case. The lease model differs substantially between them — indexation, break clauses and service-charge apportionment in commercial versus deposit and notice handling in residential — so both get modelled properly rather than one being squeezed into the other's shape.
- We already use a property accounting package. Does it replace that?
- Only if you want it to. Many portfolios keep their accounting system and integrate, because the auditor relationship is built around it. The operational layer is where the fragmentation actually hurts, and that's what we unify first.
- How do AI concierge agents handle something they shouldn't answer?
- They escalate. Agents operate inside explicit boundaries set during the build — what they can resolve, what they must hand to a human, and what they are never allowed to commit to on your behalf. Anything outside the boundary goes to a person with the full context attached.
- Can residents use it without downloading an app?
- Yes. The resident layer ships as a web portal and, where it's worth it, a native app. Uptake is better when there's no download barrier for simple things like reporting a fault.
